we collect.

1. Scope and the short version

Vonian is developing ClickSort, an add-in for Microsoft Outlook. ClickSort is not yet available for purchase. This policy covers the personal information collected through vonian.net today and the limited account, licensing and operational information ClickSort is designed to use at launch.

This privacy policy does not replace the notice shown when ClickSort asks you to connect a Microsoft account. That notice will be presented before Microsoft requests mailbox permission.

2. What we collect

Information collected on this website now

• Enquiries: first name, last name and email address when you submit the contact form, plus anything you send directly to support@vonian.net. Only the email field is required on the current form.
• Website activity: IP address, device and browser information, pages visited, referring page, timestamps, cookie identifiers and related request data processed by our website, security and analytics providers.

Information ClickSort is designed to use at launch

• Microsoft tenant and user identifiers used to identify an organisation and licensed user.
• A keyed hash of an email address where needed to match a licence without storing the address in the licensing system.
• Plan, entitlement, subscription reference, status and expiry information.
• Limited technical request and security logs, designed to exclude mailbox content, folder names and message identifiers.
• Billing and transaction information handled by Paddle as merchant of record. Vonian is designed to receive subscription and entitlement references, not full payment-card details.

These ClickSort service functions are still in development. We will update this policy if the implemented service differs from this design.

3. How we collect and use information

We collect information directly from you when you submit a form or email us, automatically when you use this website, and from Microsoft or Paddle when you connect or purchase ClickSort in the future.

We use it to:

• respond to enquiries and discuss possible pilots or future availability;
• operate, secure, troubleshoot and improve the website;
• provide and administer ClickSort accounts, licences and entitlements after launch;
• prevent misuse and investigate technical or security incidents;
• process purchases, refunds and related support through Paddle; and
• meet legal, accounting and regulatory obligations.

We do not sell personal information.

4. Service providers and disclosures

We may also disclose information where required by law, to protect people or systems, or as part of a business transaction subject to appropriate safeguards. We do not disclose mailbox content because the ClickSort design does not send it to us.

5. Overseas processing

Our providers operate internationally. Personal information may be processed in Australia, the United States and other locations where HubSpot, Cloudflare, Google, Microsoft, Paddle or their subprocessors operate. This can mean that privacy protections and government-access rules differ from those in Australia.

The exact ClickSort production hosting region and final provider arrangements have not yet been selected. We will confirm them and update this section before the service launches. We do not presently claim that ClickSort complies with the GDPR or any specific cross-border transfer framework.

6. Retention and security

We keep enquiries and related contact records for as long as reasonably needed to respond, manage the relationship and meet legal obligations. After ClickSort launches, account and subscription records will be kept while an account is active and for any further period required for support, dispute, security, tax or legal purposes. Operational logs are designed for short retention. They currently sit in Cloudflare Workers Logs, which expire on Cloudflare’s own schedule — up to 7 days on a paid plan, and 3 days on the free plan — and we do not extend that window.

We use technical and organisational safeguards appropriate to the information and the service's stage of development. No internet service can promise absolute security. Please do not put passwords, mailbox contents or other confidential information into the website enquiry form.

7. Your choices and rights

You may ask us to:

• tell you what personal information we hold about you;
• give you access to it;
• correct information that is inaccurate, out of date, incomplete, irrelevant or misleading; or
• delete information where we are not required or permitted to retain it.

Email support@vonian.net. We may need to verify that you are the person concerned, but we will not ask for more identity information than reasonably necessary. Some information may need to be retained for legal, security or transaction-record obligations. If an exception applies, we will explain it.

You can block or clear website cookies through your browser. Doing so may affect site features. ClickSort's local filing model is designed to remain in your browser profile; removing the add-in or clearing its stored site data removes that local model. Dedicated export and reset controls are planned before release.

8. Privacy complaints

Send a privacy complaint to support@vonian.net with enough detail for us to understand the issue. We aim to acknowledge a complaint within 5 business days and provide a substantive response within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner. Other regulators or rights may apply depending on where you live.

9. Changes to this policy

We may update this policy as the website, ClickSort or its providers change. The effective date at the top shows the latest revision. Material changes will be made prominent on the website or communicated through the service where appropriate.
