A grievance, an incident report, a return-to-work plan — most of it arrives as email, and where it ends up is where it will be looked for. ClickSort makes that filing decision take a click instead of a moment’s thought.

Why this is different work

## Filing isn’t tidiness here.

In most jobs a misfiled email is an annoyance. In HR and HSE it is a gap in a file someone may have to rely on a year later, in front of someone who is not on your side.

It has to be findable

The question is rarely “where did I put it” in the week it arrives. It is “what did we have, and when did we have it” long after everyone has moved on.

It has to be complete

A thread filed in three places is three partial records. The one you find first is the one you act on.

It arrives at the worst time

The correspondence that matters most tends to turn up in the weeks you have least attention to give it.

## Rules can’t make a judgement.

### The sender isn’t the subject

Mail about one person routinely arrives from a manager, a doctor, an insurer or a solicitor. No rule written on the sender puts it in the right place.

### One thread, several matters

A conversation that starts as a leave request and becomes something else belongs where it ended up, not where it began.

### The folder tree is deep

Person, then matter, then year is three decisions per message. That is the structure the work needs, and the reason filing gets deferred.

### Deferred filing is the failure

Almost nothing is lost by being filed imperfectly. A great deal is lost by sitting in an inbox until nobody remembers it.

What ClickSort does

## Suggest the folder. You decide.

ClickSort learns your folders from the mail already in them, reads the message you have open, works out which folder it resembles, and offers it. Accept and it files. Correct it and it learns. Every move can be undone.

It learns your structure

Not a standard taxonomy — yours, including the folders that only make sense to your team.

It never decides alone

The suggestion is a suggestion. Nothing moves without you accepting it, which is the only sane arrangement when the file is a record.

Confidential mail stays yours

Suggestions are worked out on your own device. Message content never reaches us — there is no path for it to travel, which matters more here than almost anywhere.

## The questions we expect.

Does confidential correspondence leave our organisation?

No. The model that suggests a folder is trained and stored in your own browser profile. To learn your folders it reads the sender, subject and opening lines of recent messages in them, and it keeps words and senders, with counts per folder, on your device. What reaches us is who you are, how many messages you filed each day, and what you have paid for, and nothing about the mail itself. Is this a records management or compliance system?

No, and we would rather say so now. ClickSort helps you file mail into folders you already have. It does not apply retention policies, legal holds or disposal schedules, and it is not an archive. It sits in front of whatever you use for those.

Can it file into our online archive mailbox?

Not currently. Microsoft Graph does not expose online archive mailboxes, so ClickSort cannot move a message into one. An ordinary Archive folder in the main mailbox works normally.

What if it files something to the wrong place?

You undo it, and it learns from the correction. Every move ClickSort makes is a move you accepted and every move can be reversed. It is one of the reasons nothing files automatically in the background.

Which Outlook does it work in?

New Outlook for Windows and Outlook on the web, with a Microsoft 365 Exchange Online mailbox. Classic Outlook for Windows (Microsoft 365 version) is planned and being tested.
